Google Sheets Travel Itinerary Template

A trip planner that lives in Google Sheets earns its keep three ways: it syncs to your phone for the trip itself, everyone in the group can edit it at once, and a spreadsheet can do arithmetic — so your budget adds itself up instead of waiting for you to.

This template is built for exactly that. The budget tab totals your spending live and splits costs by who paid; the bookings tab keeps every confirmation number in one place; the day planner gives each day a column you can fill from your phone in the departure lounge.

What’s inside

  • Day Planner tab — one column per day, morning / afternoon / evening rows, frozen headers so they stay put as you scroll on mobile
  • Bookings tab — flight confirmation & PNR, seat, hotel check-ins, car rental, emergency contacts
  • Budget tab with live formulas — totals recalculate as you log spending, and a SUMIF "who paid" split settles group costs
  • Category dropdowns and tick-box cells that survive the import to Sheets
  • Packing list (33 items, six categories) and a 12-item pre-trip checklist

Editing tips

Let the budget do the math

Log each spend on the Budget tab with an amount and who paid. The SPENT total and the per-traveler split update on their own — no formula editing needed. At the end of the trip the "Split by Traveler" table tells you who owes whom.

Use it offline during the trip

In the Google Sheets mobile app, tap the three dots on the file and enable "Make available offline" before you fly. Your day plans and confirmation numbers stay readable with no data connection.

One column per day scales to any trip

The planner ships with seven day columns. For a longer trip, right-click a day column and choose "Insert 1 column right" — the layout carries over.
